Generative Artificial Intelligence Policy

1. Purpose
This Policy governs the use of generative artificial intelligence (“AI”) tools by William R. Hall, P.A. (the “Firm”). It is intended to protect client confidentiality, ensure compliance with Maryland Rules of Professional Conduct, and maintain the quality and integrity of all legal services provided by the Firm.
2. Scope
This Policy applies to William R. Hall, Esq. and any staff, contractors, or agents acting on behalf of the Firm, with respect to all AI tools including but not limited to ChatGPT, Claude, Copilot, Gemini, and similar platforms.
3. Permitted Uses
AI tools may be used for the following limited, non-confidential purposes:
- General legal research and background information (non-client-specific)
- Drafting templates, form letters, or generic legal documents as a starting point
- Administrative tasks such as scheduling, billing summaries, and internal communications
- Proofreading and grammar assistance on documents that contain no client information
4. Prohibited Uses
The following uses of AI tools are strictly prohibited:
- Inputting any client name, case facts, identifying information, or confidential communications into any AI platform
- Using AI-generated content in court filings, legal briefs, or client correspondence without thorough attorney review and verification
- Relying on AI output as legal authority without independent verification through official sources (e.g., Westlaw, Lexis, Maryland Courts)
- Using personal or free-tier AI accounts for any Firm-related work
5. Confidentiality & Ethics
All AI use must comply with the Maryland Rules of Professional Conduct, including:
- Rule 1.6 – Confidentiality of Information: No client data may be entered into any AI tool that does not provide adequate data security and confidentiality protections.
- Rule 1.1 – Competence: Attorneys must understand the limitations of any AI tool used and independently verify all AI-generated output before reliance.
- Rule 5.3 – Supervision: Attorney William R. Hall remains responsible for supervising any AI-assisted work product.
6. Attorney Review Requirement
Any AI-generated content used in connection with a client matter must be reviewed, edited, and approved by Attorney William R. Hall before use. The attorney’s signature or approval on any document constitutes certification that the content has been independently verified and meets professional standards.
7. Approved Tools
Only AI tools expressly approved by Attorney William R. Hall may be used for Firm business. Approved tools must offer enterprise-grade privacy and must not use submitted data to train AI models. A current list of approved tools is maintained by the Firm.
8. Disclosure
If AI tools are used in preparing work product that is submitted to a court or opposing counsel, the Firm will comply with any applicable court rules or standing orders requiring disclosure of AI use.
9. Violations
Violations of this Policy may result in disciplinary action, up to and including termination of engagement. Any known or suspected violation should be reported to Attorney William R. Hall immediately.
10. Policy Updates
This Policy will be reviewed annually and updated as needed to reflect changes in law, ethics rules, and AI technology. Questions regarding this Policy should be directed to William R. Hall, Esq.
